Approvals

Form ID: (EP503010)

You use this form to approve or reject records of various types that have the Pending Approval status. The form displays only the records that fall within your scope, which includes:

  • Records assigned to you
  • Records assigned to other users of your workgroup
  • Records originally assigned to you but later reassigned to a different user
  • Escalated records assigned to users of workgroups that are at lower levels in the company tree but belong to the same node as your workgroup. See Company Tree and Workgroups for details about the company tree.

You don’t need access to the corresponding data entry form to approve or reject a document. However, for some record types, such as expense claims or employee time cards, you may not be able to view the details of records assigned to other users of your workgroup due to the record visibility settings on the data entry forms.

If the approval map is configured for a particular type of record or a GL transaction so that entering of a reason is required to complete the approval or rejection of the record or GL transaction, these records and GL transactions cannot be approved or rejected on this form. In this case, approvers can use only the corresponding entry form to approve or reject records or transactions of that type.

This form is available only if the Approval Workflow feature is enabled on the Enable/Disable Features (CS100000) form.

The form toolbar and More menu include the buttons and commands described below.

Command Description
Approve Approves the records you have selected in the list.
Approve All Approves all listed records.
Reassign Opens the Reassign Approval dialog box, in which you can specify a new approver to reassign the selected records to this approver if the reassignment of approvals is allowed in the related rule of the approval map on the Approval Maps (EP205015) form.
Reject Rejects the records you have selected on the list.
Reject All Rejects all listed records.

The table shown on each filter tab contains the list of records that match the criteria of the selected filter tab. The table on each tab has the following columns.

Table Columns

Column Description
Included An unlabeled check box that you select to include the records in approval processing when you click Approve on the form toolbar.
Type The type of the record.
Reference Nbr. The record’s reference number, as assigned by the respective numbering sequence assigned to records of this type.
Owner The name of the employee who owns the record that is pending approval.
Document Date The date of the record.
Business Account The account of the customer or vendor, or of the employee whose record requires approval.
Account Name The business name of the customer or vendor, or the name of the user whose record requires approval.
Description The description provided for the record, if applicable.
Requested Time The time when approval has been requested.
Currency The currency of the record or transaction.
Total Amount The total amount of the record.
Workgroup The workgroup that owns the record.
Assigned Approver ID The ID of the employee who was assigned to approve the record.

Table Filter Tabs

Each of the default filter tabs (listed below) has a table whose records may be filtered by certain criteria.

Filter Description
All Records Displays the complete list of records that you can approve, including escalated records assigned to users of workgroups that are at lower levels in the company tree but in the node of your workgroup.
My Approvals Displays the records that are assigned to you for approval.
My Workgroup’s Approvals Displays the records that are assigned to the users of your workgroup.
Reassigned Displays the records that were originally assigned to you for approval but are now assigned to a different approver.

Back to TopReassign Approval Dialog Box

In this dialog box, you can specify the new approver to whom you want to reassign the selected record or records. The dialog box opens when you click Reassign.

Element Description
New Approver The name of the employee to whom you want to reassign the selected record or records.
Ignore Approver’s Delegations A check box that indicates (if selected) that the system will assign the selected records to the specified new approver but not to their delegate, even if the new approver is unavailable and has a delegate specified for the current business date.
If the check box is cleared and if the new approver is not available and has a delegate specified for the current date, the system will reassign the selected records to the delegate if they’re available. If the delegate is unavailable, the system will reassign the requests to the delegate of the delegate. The system will continue the search in this way until:
  • It assigns an approver with no active delegations set up for the current date.
  • It detects a loop in the chain of delegations. In this case, the system will prompt you to specify a different approver.
This dialog box has the following buttons.
Reassign Closes the dialog box and reassigns the selected record or records to the specified new approver if the reassignment of approvals is allowed in the related rule of the approval map on the Approval Maps (EP205015) form.
Cancel Closes the dialog box and cancels the reassignment of the selected record or records to the new approver.

By using the side panel, you can view a list of records pending approval and the details of the selected record simultaneously.

On the Quick View tab within this side panel, the entry form for the selected record opens, showing the record’s details in read-only mode.
