Acumatica ERP gives you the ability to pay AR documents by individual lines. You can select how you want to apply payments: fully (to the entire document), partially (to a portion of the entire document), or to individual document lines.

Applying AR Payments to Particular Lines: General Information

Some industries track the expenses and cash flows of particular projects with a high degree of granularity. Project expenses are recorded in the lines of an invoice, with each line corresponding to a specific combination of a project, project task, and cost code (if applicable). In Acumatica ERP, you can create an AR payment that pays particular lines (or one line) of any number of AR invoices.

Applying AR Payments to Particular Lines: Generated Transactions

As you apply payments to particular lines of AR documents, you create and process payments. To update customer balances, the system generates the GL transactions described in the following sections.

Applying AR Payments to Particular Lines: Process Activity

The following activity will walk you through the process of creating an AR invoice to be paid by line and partially paying some of its lines.

To Enter an Invoice with Retainage that Can Be Paid by Line

You enter an AR invoice with retainage that can be paid by line on the Invoices and Memos (AR301000) form. You use this procedure if you are specifying items' quantities and unit costs (as opposed to only line totals) in the detail lines of the invoice. To correct the amount of an original invoice with retainage, which has been released, you add a line with a negative extended price to an invoice.

To Apply a Credit Memo Paid by Line to an Invoice

You use the Payments and Applications (AR302000) form to apply credit memo lines to invoices by paying them in one payment.
