Generating Financial Calendars

A financial calendar is a set of financial periods within which an organization records its revenues and expenses and plans future operations. A calendar consists of financial years, each year including a number of financial periods. In Acumatica ERP, the master calendar and company calendars are used. The master calendar is a set of financial periods generated for multiple years based on the financial year configuration specified for the tenant. A company calendar is a financial calendar that is used by a particular company within Acumatica ERP; it is based on the master calendar but can have the same number of financial periods as the master calendar does (or fewer periods).

Depending on the state of the Centralized Period Management feature on the Enable/Disable Features (CS100000) form, you can manage financial period statuses on the tenant level or on the company level as follows:

The Centralized Period Management feature is enabled (default): You set up the master calendar on the Master Financial Calendar (GL201000) form, and all the companies within the tenant will use this calendar. A particular financial period will have the same status in all companies. You can open, close, lock, deactivate, reopen, and unlock financial periods for all companies at the same time.
The Centralized Period Management feature is disabled: You set up the master calendar on the Master Financial Calendar form, and the system generates company calendars automatically when the master calendar is generated (for the companies that already exist) or when a new company is created. You use the Manage Financial Periods (GL503000) form to change period statuses separately for each particular company. On the Company Financial Calendar (GL201100) form, you can review financial periods and their statuses for a particular company.

With this feature disabled, you can enable the Multiple Calendar Support feature if you need to configure companies with different fiscal year-end dates within one tenant.

Master Calendar Generation

After you have performed the initial setup, you generate a master financial calendar on the Master Financial Calendar (GL201000) form for any number of financial years by clicking Generate Calendar on the form toolbar. Companies' Financial Calendars

If the Multiple Calendar Support feature is disabled on the Enable/Disable Features (CS100000) form, when the master calendar is created on the Master Financial Calendar (GL201000) form, the system also creates each company calendar automatically as a copy of the master calendar. If your organization supports a separate financial calendar for each company within the tenant when each company needs to close financial periods separately (the Centralized Period Management feature is disabled on the Enable/Disable Features form), you use the Company Financial Calendar (GL201100) form to review the statuses of financial periods for each company. After you have set up the master financial calendar and generated periods for it, you should open these periods separately in each company.

Multiple Calendar Support

In Acumatica ERP, you can implement multiple legal entities within the same tenant, and the entities can have different fiscal year-end dates. With the Multiple Calendar Support feature enabled on the Enable/Disable Features (CS100000) form, you can configure multiple companies with different fiscal year-end dates within one tenant.

Modification of Periods for a Year

After financial periods are defined, the same periods will be used for all subsequent financial years. If needed, you can modify the financial periods of a year on the Master Financial Calendar (GL201000) form. You can change the settings of a financial period if you did not post any transactions to the period you need to modify.

To Generate Periods for New Financial Years in Master Calendar

In Acumatica ERP, you can generate financial periods for each new year in the master calendar on the Master Financial Calendar (GL201000) form.

To Create the First Year of the Company Calendar

In Acumatica ERP, with the Multiple Calendar Support feature enabled, you configure the company calendar separately for each company. To do this, you use the Company Financial Calendar (GL201100) form.

To Generate Periods for New Financial Years in a Company Calendar

Once you have configured a company calendar, you need to generate periods for new financial years in the company calendar. To do this, you use the Company Financial Calendar (GL201100) form.

To Add an Adjustment Period

In Acumatica ERP, you can add an adjustment period for each year only during initial setup, when you configure your financial year and its periods. However, if required, you can easily add an adjustment period for the latest financial year.
